Cloud-based bookkeeping gives an accounting practice and its authorised support team a shared place to work. The practical benefit is access to the same ledger, documents and questions. The quality of the accounts still depends on complete records, appropriate permissions and a clear review process.
Start with access and responsibilities
Before a support team enters the ledger, agree who can view records, prepare entries and approve changes. Use individual accounts and permissions suited to each role. Keep payment authority and professional decisions with the people your firm has authorised.
Record the approved document-sharing arrangements and the steps for removing access when work ends. Your engagement instructions should also identify any restrictions on where information may be processed.
Make the records easier to review
A shared ledger is useful when the supporting records are organised. Use consistent account coding, attach source documents where the software supports it and identify the period each schedule covers. List missing records and questions together so the reviewer can distinguish incomplete work from a completed close.
- Reconciliations: match bank and card balances to statements and explain differences.
- Supporting schedules: keep customer, supplier and control-account schedules alongside the ledger.
- Change history: use available history and audit-trail features to trace entries and corrections.
- Reporting: state which period is covered and whether unresolved items affect the figures.
Check the full cost of the arrangement
Separate the software subscription from the cost of bookkeeping support. User licences, connected services, transaction volume and additional entities can affect the total. Ask which costs are included in the quote and which remain with your firm.
For the service scope, agree the reporting frequency, the records required, the expected response to questions and who reviews the work. A lower headline fee is difficult to compare if the deliverables differ.
Choose software around the practice
Assess the platform against the work your team actually does. Consider entity structure, currencies, reporting needs, existing systems and access controls. Test a representative workflow before committing to a wider change, including how a reviewer finds a source document and resolves an open question.
Provider security information is one input to that decision. Your own configuration, permissions and working practices also matter. A cloud subscription alone does not establish that an engagement meets every confidentiality or regulatory requirement.
Prepare the books for the next reviewer
La Comptabilité provides bookkeeping and accounting support behind the practice. The preparation file brings together reconciliations, source references, proposed adjustments and open questions. A senior accountant checks the work before your firm reviews and approves it.
